A property consultation through an interpreter: keep the meaning

Prepare a multilingual buyer consultation with a term sheet, document versions and a written recap. Avoid turning fluent conversation into unverified advice.

Everyone on a video call can appear to agree while understanding different things. One person hears "ownership", another means a time-limited right, and the buyer leaves believing the paperwork is settled. A fluent conversation does not show that the legal and commercial meaning survived translation.

An agent can make the consultation easier to follow without claiming to certify a translation. The work starts before the call and continues in the written recap. This approach is especially useful when a referring agent, a local team and a buyer use different working languages.

Confirm the language people can make decisions in

Ask the buyer which language they want for the discussion and which language they can comfortably read. These may differ. An English conversation may be convenient for arranging a meeting but unsuitable for reviewing a complicated payment clause.

Check the receiving team's actual language availability. A translated website does not prove that a specialist is available in every displayed language. If the team proposes an interpreter, establish who selected that person, what their role covers and whether a separate specialist is needed for documents.

Do not describe a bilingual salesperson as an independent interpreter unless that is genuinely the arrangement. The buyer should understand the person's connection to the businesses involved.

Prepare a small term sheet

Use the documents for the proposed property, not an improvised general glossary. Put the source expression, the working translation and the question beside one another.

Source term Working meaning to confirm Evidence required
Reservation What is being held and until when? Reservation terms
Handover Keys, inspection, possession or another event? Relevant clause
Management fee Which service and calculation basis? Management proposal
Renewal Option, obligation or future negotiation? Exact contractual wording

Leave a term unresolved when it is unresolved. A neat translated column is less useful than a visible question that prompts the right professional to explain it.

Give each document a clear identity

Send the agreed version before the meeting. Record its filename, date, language and unit identifier. If someone opens an updated brochure during the call, identify what changed before continuing. Otherwise the buyer may approve a condition that appears only in the older file.

A machine translation can help someone find a passage or prepare questions. It should not be presented as a certified translation or a substitute for advice about the effect of a contract. Do not upload a buyer's confidential file to a translation service without an appropriate basis and permission.

Ask the relevant lawyer or document specialist which language governs and what translation or certification the transaction requires. Requirements depend on the documents and jurisdiction. The agent should record the answer, not invent a universal rule.

Change the pace of the meeting

Speak in complete, short sections and let the interpreter finish. Ask one question at a time. When the buyer asks about a payment, keep the amount, currency, event and deadline together so they are not separated across several explanations.

After a substantial answer, ask the buyer to describe the decision in their own words. This is a check on communication, not a test of the buyer. If their summary differs, return to the source and clarify the difference before moving on.

Write a recap that separates decisions from open questions

The recap should identify the people present, the documents discussed, decisions actually made and questions still awaiting a professional answer. Do not write "all conditions accepted" merely because nobody interrupted the call.

Assign the next response to a named role and an agreed date. Where the meaning remains disputed, avoid quietly choosing whichever translation makes the sale easier. A new consultation or a specialist explanation may be the correct next step.

The IBG introduction process is a starting point for arranging the relationship. Ask the team to confirm language support for the specific enquiry before offering it to a client.
