Which property offer did the buyer actually approve?
Keep the unit, price, inclusions and payment schedule tied to one dated proposal. A practical offer log for cross-border property enquiries.
A buyer approves an apartment from a screenshot. The floor plan is current, the price comes from last month's list, and the furniture package belongs to another promotion. Nobody intended to invent an offer, but the combined message describes something the seller has not agreed to sell.
This can happen when a referring agent receives material from a local team and forwards only selected parts. A basic offer log helps preserve context without turning the agent into a document controller for the whole development.
Treat an offer as one identified proposal
Start with the property, building and unit identifier used by the seller. Include the plan revision or date if available. A project name alone is not enough when apartments differ by floor, orientation, size or specification.
Ask the local team which document confirms current availability. Record who issued it and when it was checked. If availability is provisional, keep that qualification visible in what the buyer receives.
Use a simple reference such as "Proposal A, revision 2, issued on the stated date". The label is your filing method, not an assertion that the seller uses the same system. Retain the seller's original reference as well.
Keep the commercial details together
Your working record should allow someone to reconstruct the proposal without searching several chat threads.
| Field | What to capture |
|---|---|
| Unit | Identifier and referenced plan |
| Price | Amount, currency and quoted date |
| Inclusions | Furniture, appliances and other specified items |
| Exclusions | Known separately payable items |
| Payment | Amounts, dates or contractual events |
| Validity | Seller's stated expiry or required reconfirmation |
If a field is not confirmed, write that. Do not fill the gap with an attractive detail from another listing. A display apartment, marketing image or older brochure does not establish the specification of a particular unit.
Make changes visible
When a revised quotation arrives, compare it with the previous version before forwarding it. State what changed and which previous document it replaces. A lower headline price can come with a different schedule or fewer included items. A larger unit may involve another total budget.
Keep a short change note: unit changed, currency unchanged, payment dates revised, furniture awaiting confirmation. This lets the buyer focus on the decision rather than rereading every attachment to discover the differences.
Do not delete the earlier proposal if it forms part of the enquiry history. Store it as superseded with appropriate access controls and retention arrangements. Avoid leaving it in the active shortlist where someone could mistake it for the current option.
Ask for approval of the current version
Before a reservation discussion, send a concise summary linked to the identified proposal. Ask the buyer whether that is the option they want the team to pursue. Their approval of a previous version should not be silently transferred to a different unit or payment structure.
This does not make the summary a replacement for the transaction documents. The relevant professionals should check the actual agreement, particularly where the brochure and contract differ. An agent's neat comparison table cannot resolve conflicting contractual language.
Give a returning enquiry a fresh check
If the buyer returns after a pause, recheck price, availability and terms. Do not reopen the conversation by promising that the original option still exists. Explain which elements can be confirmed immediately and which need a new response from the seller.
The IBG agent process provides a route for passing a structured enquiry to the local team. Keep any commission discussion separate from the property's consumer-facing quotation and confirm the applicable cooperation terms.
