Show a property case without exposing the client
Prepare a property case study with relevant evidence while removing unnecessary personal information. Distinguish a transaction stage from a completed result.
An agent asks for proof of a partner case. The response should not be a folder of a buyer's private documents. Nor should it be an attractive graphic with no clear account of what actually happened. A useful evidence pack answers a limited question and protects the people involved.
This guide proposes an editorial process. It does not determine the lawful basis for sharing personal data or authorise disclosure. Obtain appropriate advice and permissions before preparing material for a particular audience.
Start with the exact claim
Write down what the case is intended to show. A reservation, a completed acquisition and a paid referral fee are different claims. Evidence for one should not be presented as proof of the others.
Separate the client's original request, actions taken and documented outcome. If dates, amounts or stages are not established, leave them out or mark the uncertainty. Do not add a plausible commission because the property price is known.
The IBG Pattaya case is an example of a published narrative with a stated sequence and outcome. It should not be treated as a promise that another buyer or agent will obtain the same result.
Decide what the audience needs
A buyer reading a public case may need a clear account and source attribution. A professional reviewing a specific claim may need selected supporting evidence through an authorised process. Those are not the same disclosure.
Choose material that supports the stated purpose. Names, identity documents, private addresses, banking information and personal correspondence should not be included simply to make the pack look convincing.
The ICO's data-minimisation guidance is a UK regulatory reference for limiting personal data to what is necessary. It is not a statement that UK law governs every overseas case. Confirm the requirements that apply to the actual processing.
Redact a copy, not the sole original
Preserve source records under the appropriate access and retention arrangements. Work on an authorised copy. Record what the copy is intended to demonstrate and which fields have been removed.
Use a suitable redaction process rather than drawing a visible rectangle over text and assuming it cannot be recovered. Check the exported file, including selectable text, document properties, embedded attachments and any remaining identifiable details. Ask a competent person to verify it if necessary.
Do not crop a document so that a qualification disappears while the favourable amount remains. Privacy editing must not misrepresent the source. Label an extract as an extract and identify the context needed to understand it.
Keep the evidence and explanation connected
For each item, record its source, date, purpose and limitation. A photograph of keys may illustrate a handover but not prove that a referral payment reached an agent. A reservation form may show a reservation rather than subsequent completion.
| Evidence question | Editorial check |
|---|---|
| What does the item establish? | State only that stage or event |
| Who provided it? | Attribute the source accurately |
| What was removed? | Preserve relevant context |
| Who may receive it? | Confirm permission and scope |
| What is still unknown? | Keep the limitation visible |
Review the public version on its own
Read the final story without access to the private file. Can a reader tell what happened, which facts are confirmed and which outcome is not claimed? Does it identify the business relationship without implying independent verification that did not take place?
Use a registration link as a next step for learning the process, not as a promise to reproduce the case. The IBG workflow and commission explanation should remain separate from the historical outcome.
